Reactivating the Hamava System After Lockout |
|
If your Hamava system account becomes locked due to forgotten credentials or multiple incorrect password attempts, you can restore access by presenting your student ID card to the Education Department. |

Requesting Enrollment Certificate and Status Letter (فتح الملف) |
|
To obtain your enrollment certificate and status letter, submit a copy of your passport along with your student ID number to the Education Department. You will receive four official documents within 10 working days from the Central Secretariat, Ground Floor, Building No. 2, SBMU, Aarabi St., Velenjak, Tehran, Iran. |

Duplicate Student ID Card Application |
|
To request a duplicate student ID card, provide your student ID number and full name to the Education Department. The request will be forwarded to the relevant unit, and your new card will be available within three business days at Ground Floor, Building No. 2, SBMU, Aarabi St., Velenjak, Tehran, Iran. Note: Issuance of a student ID card is contingent upon full payment of the semester’s tuition fees. - The validity of the duplicate ID request letter is limited to two weeks. After this period, a new application must be submitted. |

Credit Transfer Process (For Students Transferring from Other Iranian Medical Universities) |
|
Submit a written application along with your academic transcripts and curriculum from your previous institution to the service desk. Then proceed to the Education Department for further processing. |

University Withdrawal Procedure |
|
Begin by submitting your withdrawal request to the service desk. After settling tuition fees, obtain the necessary approvals and stamps from relevant departments (clearance form). Once completed, your request will be finalized in the system. |

Student Leave Application |
|
Submit your leave request to the service desk and follow up with the Education Department. - If the leave is due to medical reasons, original medical documentation must be provided. - After evaluation, your documents will be forwarded to the Educational Committee for Specific Cases for final review and decision. |

Eligibility Criteria for the Basic Sciences Examination |
|
Students are eligible to sit for the Basic Sciences Examination if they: |
|
- Successfully complete all prerequisite courses - Achieve a GPA above 12 in Basic Sciences subjects |
|
Basic Sciences Courses Include: |
|
Anatomy, Physiology, Biochemistry, Bacteriology, Parasitology, Mycology, Virology, Immunology, Health Services Principles, Epidemiology, Technical Language, Islamic Thought I, and the Islamic Revolution. |

Minimum Credit Requirements for MBBS Graduation |
|
During the Basic Sciences and Introduction to Clinical Practices stages, students must enroll in a minimum of 12 and a maximum of 20 credit points per semester. - In the final semester of either stage, the 12-credit minimum is waived. - Students with a GPA of 17 or higher may enroll in up to 24 credits in the following term, subject to faculty approval. - Students with 24 remaining credits (in one of the Basic Sciences and Introduction to Clinical Practices stages) and no academic probation may complete all credits in one semester with faculty consent. |

Course Add/Drop Policy |
|
Within the first two weeks of the semester (in one of the first and second stages), students may: |

- Drop up to two courses - Add up to two new courses - Replace two existing courses with two alternatives This is permitted as long as the total credit load remains between 12 and 20. |

Attendance Regulations |
|
Maximum allowable absences per course type: - Theoretical Courses: 4 out of every 17 sessions - Laboratory Courses: 2 out of every 17 sessions - Clerkships/Internships: 1 out of every 17 sessions - Exceeding these limits results in a score of zero for the course. - Final decisions regarding excessive absences are made by the course instructor and verified by the school. - Justifications must be supported by official documentation and approved by the instructor. - If absences are deemed valid by the Supreme Committee for Education, the course credit will be removed from the transcript. * Even if fewer than 12 credits are completed, the semester will still be considered a full academic term. - Absence from exams results in a score of zero unless justified. In such cases, the course will be removed from the transcript following verification by the University Education Committee. |

Emergency Add/Drop Requests |
|
In exceptional cases, students in the Basic Sciences or Introduction to Clinical Practices stages may request to drop one theoretical or practical course up to five weeks before the end of the semester. This is allowed only if: - The student has not exceeded the maximum allowable absences for the course - The remaining credit load is not less than 12 |

Graduation Procedure |
|
To initiate graduation, students must obtain clearance signatures from the following departments: - Education - Research - Laboratory - Library - Student Affairs - Faculty Education Office - Deputy’s Office Once the clearance form is complete, submit it to the Education Department at the International Campus. Documents will be scanned and uploaded to the Hamava system, and the university headquarters will be contacted to issue the degree certificate (within 40 days). |

Obtaining a Medical Council Card |
|
After visiting the Education Department, students may receive an admission letter from the Office of Admissions at the Department of International Affairs. Required Documents: - Residence permit photo - Passport photo (3×4 cm) - Graduation date - Name of previous university Once submitted, the documents will be forwarded to the Medical Council. Students must then present the university-issued letter (from the Central Secretariat) at the Medical Council office |

Frequently Asked Questions-Consular Affairs |

1. Is it mandatory to register in the SAORG system, and be free of academic probation? |
|
Yes. You must register in the SAORG.IR to receive your tracking code, which is required for submission to the Consular Office. |

2. Can I get an exit/re-entry visa immediately? |
|
Generally, no. Exit/re-entry visas typically take at least 10 business days to process, unless there are exceptional circumstances. |

3. Can I apply for an exit/re-entry visa at the same time as applying for a residence permit or its extension? |
|
No. These are separate processes and must be handled individually. |
|
4. Can I obtain a residence permit without purchasing life insurance? |
|
No. Life insurance is required for both the issuance and renewal of a residence permit. |
|
5. Do I need to purchase life insurance again to apply for an exit/re-entry visa? |
|
No. If you already purchased life insurance during the issuance or renewal of your residence permit, you do not need to buy it again for the exit/re-entry visa. |

6. Can I get a residence permit for more than one academic year? |
|
Yes. Funded students may apply for a residence permit covering the full duration of their studies, provided they submit the necessary academic documentation. |

7. Can I study at this university with a tourist visa? |
|
No. A valid study visa is required to enroll and attend classes. |

8. How many times per year can I leave the country? |
|
Students holding a residence permit and study visa may request to leave the country up to four times per year. |

9. When should I renew my residence permit? |
|
You must apply for renewal at least 45 days before your current residence permit expires. |

10. Can someone else collect my passport on my behalf? |
|
Only if they have an official power of attorney from you, the passport holder. |
